Main Role:
Finance & HR Executive role will be to assist Finance & Admin Manager in providing professional services for smooth running of office meeting its administrative needs.
The person will work closely as part of the Finance/HR/Admin team under Finance & Admin Manager and cross-functionally with the other departments.
To be successful in this role we believe that the person should be result driven and have organizational skills,able to handle communication correctly within different teams.
Human Resource function:
· Screen CVs, conduct HR interviews, and coordinate with managers for hiring.
· Manage onboarding and offboarding processes.
· Liaise with Singapore office on ensuring update employee records in HRIS
· Prepare annual HR and training activity calendars.
· Act as first point of contact to handle employee enquiries and explain Company policies on HR/Finance/Admin matters. Communicate company policies and conduct to employees.
· Distribute office notices via various channels.
· Ensure accurate provision of employee benefits.
· Update organization charts and SBO Finance monthly.
· Maintain employee satisfaction through engagement and surveys.
Administrative function:
· Oversee office inventory and equipment, maintain a clean work environment, handle communications, manage administrative staff, and organize meetings.
· Process administrative purchases for the office.
· Follow up on freight/courier services via Campusship.
· Schedule meeting rooms and company cars for supplier visits.
· Liaise with Singapore office on travel arrangement and policies on Travelperk.
· Organize travel, entertainment, and visa processes for guests and employees.
· Ensure periodic maintenance is performed at Kolektif House.
· Monitor and support computer systems, servers, and internet bandwidth.
· Address IT-related issues with French IT, including newcomer ID creation.
· Prepare and update files to welcome new visitors to Turkey.
Finance function:
· Scan invoices into the accounting system & Power Automate and print GL entry vouchers.
· Conduct month-end reconciliations with suppliers.
· Track payments for re-final invoices with suppliers.
· Compare price quotations for office-related purchases.
· Verify supplier invoices against POs in PLM and coordinate necessary corrections with suppliers.
· Follow up on vendor agreements (car rental, health & life insurance) and prepare analysis sheets
Any other tasks assigned by supervisor.
